If you want to update Quantity On Hand (QoH) with an import file you can accomplish this by following the steps below.
These instructions assume that you have no open inventory counts for the location you're trying to update the QoH. If there is already an Inventory Count with an "Open" status you will need verify with the appropriate staff within your company that it can be finalized or have them finalize the count before moving to the steps below. Finalizing an inventory count that is not ready to be finalized can have some undesired results.
- Log into the back office.
- Navigate to "Tools" > "Inventory Counting".
- Select "Create New Inventory Count".
- Make sure you have the follow configured.
- Reference Number = Create a number or name for the count that makes sense. Something similar to "Qty On Hand <Current Date & Time>" may be a good start.
- Notes = These can help explain why this count was created for future reference, BUT it is not required.
- Location = The location you would like to adjust the QoH.
NOTE: You can only choose one location per count.
- Inventory Count Type = Set this to "Manual entry (blank)".
- Save the new count.
- Click "Join inventory count".
- Click on the link that says "here" to download a sample import file. This will be used to add products so they can be imported.
- Prepare the import CSV file.
- Open a blank excel document.
- Click on the "Data" tab near the top.
- Select "From Text".
- Navigate to where you saved the sample file, select it, and click OK.
- On the window that pops up ensure that "Delimited" is selected and click "Next".
- Ensure that the delimiter Tab is selected and the view looks like each column is separated correctly and click "Next". See the screenshot for reference.
- Select "Text" in the "Column data format" section and click "Finish".
- Leave the existing "=$A$1" in the field and click OK.
- Delete the data in rows 2 & 3. Now you are ready to add products to the file that you will be importing.
DO NOT DELETE OR CHANGE the data in ROW 1. This is required to be able to import the file correctly.
- The only there columns that require data is the first three "ProductCode","Quantity", & "EntryDate". The "Comments" column does not require data to be entered but is there as an option.
- Now you can enter the products and quantity you want to adjust. If you want this to take effect for today's date or another date enter that in the EntryDate column.
- Once you have entered all of the products you will want to save the file as a CSV file type.
- Click "File" > "Save As" > "Browse".
- Give the file a name.
- Click on the drop down for "Save as type" and select "CSV (Comma delimited) (*.CSV)".
- Then navigate to where you would like to save the file and click "Save".
- Click "Yes" on the popup that asks if you want to keep the format.
- Go back to the inventory count that you joined in step 6 and click where it says "Drop files here to upload" and navigate to where you saved the CSV file you created then click "Open".
- Click on the Button that says "Import" near the bottom.
NOTE: If you see anything in red that is something that was not properly imported and it should provide a description of what the issue is.
- Click "Done".
- Navigate back to Tools > Inventory Counting and select the inventory count you're working with then click "Edit Selected Inventory Count".
- Click on "Finalize Inventory" to commit the changes.
NOTE: You will NOT be able to edit this count after you have finalized it.
