Joining a customer to an existing loyalty program in the back office

Overview

You can join a customer to a loyalty program in the back office if, for example, you don't have access to the POS, or if you wish to join a second customer to an existing membership.  


Our sharing loyalty account feature can be marketed to couples what wish to combine their separate purchases into a single points balance, or if multiple employees from a local bar or restaurant would share loyalty points for their establishment.



When you don't have access to the POS

The method below will join a single customer to your loyalty program in the back office.



  1. Log into the back office
  2. Navigate to Admin → Customers
  3. Create a new customer or edit an existing customer
  4. Scroll to the Loyalty Memberships section
  5. Select a loyalty program in the "Join current customer to program" field
  6. Click the "Join to program" button



Sharing Loyalty Accounts with Multiple Customers


Something to know before continuing.  Sharing loyalty accounts means the points balance will also be shared.  

If Customer A has a balance of 300 points, Customer B will also have a balance of 300 points.

If Customer A earns 50 points, then Customer B's balance will also increase by 50 points.  

If Customer B redeems 500 points, then Customer A's balance will also decrease by 500 points.


When only Customer A has a Loyalty Account




This method will work if both Customer A and Customer B have accounts, and only Customer A is a member of your loyalty program.  If Customer B is already a member of the same loyalty program, the following message will appear at the top of your screen.  In this scenario, skip to the next section.



  1. Log into the back office
  2. Navigate to Admin → Customers
  3. Search for Customer A's customer account
  4. Edit Customer A's account
  5. Scroll to the Loyalty Memberships section
  6. Click the checkbox next to the customer's name for the correct loyalty program
  7. Enter Customer B's name in the "Join another customer to selected membership(s)" field
  8. Click the "Join to membership(s)" button



If successful, your shared loyalty account should look like this:



When both Customer A and Customer B have Loyalty Accounts




This method will work if both Customer A and Customer B have accounts, and both Customer A and B are members of your loyalty program.  

  1. Log into the back office
  2. Navigate to Admin → Customers
  3. Search for Customer B's customer account
  4. Edit Customer B's account
  5. Scroll to the Loyalty Memberships section
  6. Click the checkbox next to the customer's name for the correct loyalty program

    Important: The system will not merge existing loyalty accounts.  Because of this, you will need to document the points balance for Customer B to apply an equal adjustment to the shared loyalty account.
    
    Clicking the "Remove" button in the next step will delete all loyalty data related to Customer B.  A new Card Number will be created for Customer B after Customer B is joined to Customer A's 

  7. Click the "Remove" button
  8. Save Customer B's account
  9. Search for Customer A's customer account
  10. Edit Customer A's account
  11. Scroll to the Loyalty Memberships section
  12. Click the checkbox next to the customer's name for the correct loyalty program
  13. Enter Customer B's name in the "Join another customer to selected membership(s)" field
  14. Click the "Join to membership(s)" button


     
  15. Once the loyalty accounts are shared, click on the Points amount in the last column for either loyalty card



  16. Adjust the points balance by adding the amount documented in Step 6

    1. In the example above, if Customer A had 250 points and Customer B had 157 points, you will change the "Points" amount to 407.
  17. Click Save
